Terms & conditions — COP31 hotel booking

These terms govern the booking of single-room hotel accommodation during COP31 by a customer ("you") with Best of Tours SAS ("we", "us"), a French société par actions simplifiée registered at 26 bis rue de la Calade, 84200 Carpentras, France (SIREN 850 483 355; Atout France immatriculation IM092200004; financial guarantee APST — Association Professionnelle de Solidarité du Tourisme).

The hotels are: Grand Park Lara (premium, all-inclusive) and IC Hotels Airport (premium, bed & breakfast), both located in Antalya, Turkey. Allocations are contracted directly with the properties.

bot-events.com is operated by Best of Tours SAS, an independent travel operator. We are not affiliated with, endorsed by, or authorized by the UNFCCC or any organizer of COP31. We offer accommodation from our own directly contracted hotel allocations.

A booking is confirmed when (a) the deposit payment is successfully processed by Stripe and (b) you receive a confirmation email from us bearing a booking reference of the form COP31-XXXXXXXX. The reference is your point of contact for any modification or query.

Prices are quoted in Euros (€), per single room, per night, and include all applicable VAT.

VAT is calculated under the French travel-margin scheme (régime de la marge bénéficiaire, Code général des impôts art. 268 bis). No separate VAT line is shown on the receipt.

• The full amount of the booking is due at booking and charged immediately via Stripe Checkout (card payment), in EUR, VAT included.
• No further payment is due after the booking is confirmed. There is no balance reminder.
• For organizational invoicing (different billing name, purchase order, bank transfer, split payment), email cop31@bot-events.com before booking and we will arrange terms on a case-by-case basis.

• Single room for the dates booked
• Board as stated for the selected hotel (full all-inclusive for Grand Park Lara; bed & breakfast for IC Hotels Airport)
• For IC Hotels Airport only: complimentary venue shuttle
• City / tourist taxes where included by the hotel

Not included: flights, transfers (except shuttle above), travel insurance, personal expenses, items not listed by the hotel as part of the board.

Notwithstanding the EU "right of withdrawal" for distance sales, travel and accommodation services are excluded from this right under Article L221-28 12° of the French Code de la consommation. The following single-tier policy applies:

• Before 1 June 2026: full refund of all amounts paid.
• On or after 1 June 2026: the booking is non-refundable. No partial refund is offered.

Cancellation requests must be sent in writing to cop31@bot-events.com with the booking reference. Refunds are processed via Stripe back to the original card within 7 business days of receiving a valid cancellation notice.

UNFCCC override: If COP31 is formally cancelled or postponed by the UNFCCC, all amounts paid are refunded in full regardless of the cut-off date above. This force-majeure clause is contracted with both hotels.

For any other force-majeure event (natural disaster, government travel ban, declared epidemic preventing travel) outside our reasonable control, refunds will be processed in accordance with applicable French and EU travel-services law.

Date changes within the 2026-11-07 → 2026-11-21 window (subject to availability) and addition of rooms can be requested by email and are not charged a modification fee. Reduction of room count is treated as a partial cancellation under section 6.

We act as a tour operator within the meaning of the French Code du tourisme (art. L211-1 et seq.) and assume responsibility for the proper execution of the contracted accommodation service. Our liability is limited to the amounts actually paid by the customer for this booking, except in cases of gross negligence or wilful misconduct.

We process the personal data you provide (name, contact details, organization, special requests) solely to fulfil the booking and to communicate with you. The data controller is Best of Tours SAS. See our Privacy notice for full details.

These terms are governed by French law. Any dispute that cannot be resolved amicably is submitted to the exclusive jurisdiction of the Tribunal de commerce d'Avignon, France.
